Independent Schools of New Zealand (referred to in this Privacy Policy as ISNZ, we, our, or us) values your privacy and is committed to safeguarding your personal information. We comply with our obligations under the Privacy Act 2020 with respect to the handling of your personal information, including by taking all reasonable steps to ensure that your personal information is secure.
This Privacy Policy explains how we collect, use, disclose and otherwise handle your personal information and your rights to access and correct that information.
This Privacy Policy applies to all persona information that ISNZ collects, including but not limited to, information collected on the ISNZ website available at https://www.isnz.org.nz/ and the ISNZ Members’ Portal available at https://portal.isnz.org.nz/.
Collection of personal information
We may collect personal information about you when you make contact, make enquiries or otherwise engage with us, or someone else does so on your behalf.
This includes personal information that you provide to us in circumstances such as:
· When you contact us directly to make an enquiry about our events or services, or any of our members, or to provide feedback.
· If you are a supplier or service provider, in connection with the supply of products and services by your business.
· When you subscribe to any of our mailing lists.
· When you register for and/or attend any of our events, workshops or conferences.
· If you submit an employment application to us.
This could include be information that you provide to us when you contact us through our website, by email or phone, or when you contact us in person.
We may collect personal information about you ourselves such as:
· When you use our website, ISNZ Members’ Portal, apps or via social media platforms.
· Gaining insights through reviews, reporting and analysis.
· Through the use of digital technologies like cookies, tags and pixels. These may also come from third party services for the purpose of collecting data to enable website or app security, continuity, performance measurement, advertising and analytics.
We may also collect your Personal Information from other sources such as:
· Third parties who have been authorised or are otherwise permitted to share your personal information with us.
· Publicly available sources, including, internet search and social media platforms.
· Any person authorised to act on your behalf or provide your personal information to us.
· Anyone you nominate in submitting an employment application.
Personal information that is collected
The type of personal information we collect is the personal information that you provide to us and which other people are authorised or permitted to provide to us, or which we are permitted to collect. This personal information includes your:
· Name and contact details (such as email and physical addresses, and telephone numbers).
· Your interest in any of our services or our members.
· Registration and/or attendance at our events, workshops or conferences.
· Enquiries and communications with us.
· If you are registered to use the ISNZ Members’ Portal, we may also collect information such as the school/organisation you work for, your role, city and region, log-in details and billing information (such as your credit card details).
Failure to provide such information may result in us not being able to:
· Provide you with the information and/or assistance you have requested from us, including the provision of updates, news, resources and information about courses and events.
· Register you for our events, workshops or conferences.
· Allow you to use the ISNZ Members’ Portal.
· Provide you with any services that you may have requested from us.
· If you have applied for a job with us, consider your application for employment with us.
Comments
When visitors leave comments on the ISNZ Members’ Portal, we collect the personal information shown in the comments form, the visitor’s IP address, and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here:https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the ISNZ Members’ Portal, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the ISNZ Members’ Portal can download and extract any location data from images on the ISNZ Members’ Portal.
Cookies
A cookie is a small data file that a website sends to your browser, which may then store it on your system for later retrieval by a website, and which are used to record how you navigate the website on each visit. We use the information collected from cookies to enhance your user experience of our website and to develop and improve our product and service offerings.

If you visit our login page of the ISNZ Members’ Portal, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal information and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal information and simply indicates the post ID of the article you just edited. It expires after1 day.
You do not have to accept cookies and can change your browser settings to prevent cookies being stored on your computer. ISNZ may use or disclose your personal information provided to us for the purposes of:
· Responding to any requests for information or queries you have submitted to us, or providing you with other relevant information.
· Providing you with services including, if you apply to become a registered user of the ISNZ and /or do become a registered user of the ISNZ Members’ Portal:
o assessing and processing your application to be a registered user of the ISNZ Members’ Portal;
o providing the services available through the ISNZ Members’ Portal;
o sharing your user profile with other members through the Live Feed, Find Members, Group and Conversation functions of the ISNZ Members’ Portal;
o establishing and maintaining a School Contacts Directory available to other registered users of the ISNZ Members’ Portal - you can opt out of sharing your user profile with other registered users of the ISNZ Members’ Portal through your personal account settings;
o sending you information about our services and upcoming courses, events, workshops and conferences.
· Processing and administering your registration to any of our events, workshops and conferences.
· Contacting you which could be by email, phone, text or in an app message. This may be in relation to a service update or to respond to an issue you have asked for help with.
· Providing relevant communications relating to our products and services, and those of our sponsorship and supplier partners.
· Our business administration and planning purposes, including potentially undertaking statistical analysis and research.
· Providing you with updates and information in relation to ISNZ and ISNZ-related events.
· Providing you with our newsletter and email campaigns.
· Complying with any applicable law.
Who we share your personal information with
We do not share personal information about you with any third parties other than our service providers who may need to access that personal information in the course of providing services to us (including for example the provider of the platform that hosts the ISNZ Members’ Portal), unless:
· You have expressly consented to, or authorised us to, do so.
· The sharing of the personal information is for the purpose for which the information was collected, or a directly related purpose.
· Otherwise permitted or required by law to share the information.
If you request a password reset, your IP address will be included in the reset email.
How long we retain your personal information
If you leave a comment, the comment and its meta data are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our Website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Your right to request access to, and correction of your personal information
You can request to receive confirmation from us of the personal information we hold about you, and to access that information. If you make a request for access to the personal information that we hold about you, we will provide it to you unless we consider there are valid reasons under law for us to withhold that information.
You have the right to request correction of your personal information held by ISNZ. When requesting correction of your personal information, you have the right to provide to us a statement of the correction sought (Correction Statement) and the right to request that, if we do not make the correction sought, the Correction Statement is attached to the relevant personal information.
Requests for access to, and/or correction of, the personal information we hold about you, can be made to ISNZ’s Privacy Officer (see below) setting out your name, contact information, and the details of your request.
Changes to ISNZ’s Privacy Policy
We may amend this Privacy Policy from time to time, providing reasonable notice prior to any changes taking effect, including by posting an updated Privacy Policy on this Website. We encourage you to review this page from time to time, particularly each time you use the ISNZ Website or the ISNZ Members’ Portal.
